ClearPath Terms of Use

Version 5 · Effective October 4, 2026

ClearPath Ready is a workspace, not a broker, lender or advisor. You keep ownership of everything you put in it, licensed professionals keep responsibility for their own regulatory duties, and individuals decide who is connected to them.

Version 4 · 2026-10-04 · Last updated 2026-10-04

1. Agreement

These Terms of Use (the "Terms") are an agreement between you and ClearPath Ready LLC, a Minnesota limited liability company ("ClearPath Ready", "we", "us"). By creating an account or using ClearPath Ready you accept these Terms, the Privacy Policy and the Data Retention Policy. If you do not accept them, do not use the service.

The current version of these Terms is 5, effective October 4, 2026.

2. Who may use ClearPath Ready

ClearPath Ready is used by two types of users: (1) Individuals using ClearPath Ready to understand their financial readiness for renting or buying a home, and (2) Realtors who connect with those individuals to view information shared with them.

Throughout this agreement, “individuals” refers to people using ClearPath Ready for personal financial readiness, “realtors” refers to real estate professionals using ClearPath Ready to support those individuals, and “users” refers to both groups collectively. A “connection” is the approved relationship between an individual and a realtor inside the product.

You must be at least 18 years old and located in the United States. Accounts are personal to you: one person, one account. You are responsible for everything done under your account and for keeping your credentials secure.

Realtor accounts require an active real estate license in each state you claim. We verify licenses against public state registers where available; otherwise an administrator reviews them. Submitting a license you do not hold, or that is not in good standing, is grounds for immediate termination. Library access for a realtor requires a valid, unexpired licence.

What each kind of account can do inside ClearPath Ready differs, and these Terms apply to each accordingly:

  • Individuals — receive files, attach files inside conversations, move files shared with them into their own library, and export anything visible to them. Individuals do not upload into persistent storage. Individual libraries are ephemeral, are never counted against a storage tier, are never billed, and an individual is never blocked by a storage limit.
  • Realtors — upload, store, move and export. Storage limits and retention rules apply, library access requires a valid unexpired licence, and a realtor inside a firm is subject to that firm's offboarding policy.
  • Firms — upload, store, move and export. Storage limits and retention rules apply, files pinned for compliance always remain firm-owned, and the firm owner elects the offboarding policy that governs departing members.

3. What ClearPath Ready is — and is not

ClearPath Ready is a secure workspace for organizing financial information and communicating about it. It is not a broker, brokerage, lender, mortgage originator, investment adviser, attorney, accountant, tax advisor or compliance officer, and no professional relationship is created by using it.

Calculations, projections, scores and affordability figures are planning tools built from information you supply. They are not advice, not an offer, not a pre-approval, and they do not guarantee any loan, price, term or outcome. Verify anything important with a qualified professional before acting on it.

The what-if assistant uses artificial intelligence to understand questions asked in your own words and to word its replies. It can misread a question. Always check the settings it applied, shown with every answer, before relying on the result; the numbers themselves come from the same fixed formulas as the rest of ClearPath Ready.

4. Your responsibilities

When you use ClearPath Ready you agree that:

  • The information you enter is accurate and you have the right to share it.
  • You will not upload unlawful, infringing or malicious content, and you will not attempt to access another account, workspace or conversation.
  • You will not scrape, reverse engineer, resell, or use the service to build a competing product.
  • If you are licensed, you remain solely responsible for your own regulatory duties — advertising rules, supervision, disclosures, and record-keeping — and for anything you send an individual.
  • If you manage a firm workspace, you are responsible for who you admit, what access you grant them, and the retention policy you set for the firm.

5. Content and ownership

You keep ownership of everything you put into ClearPath Ready. You grant us only the limited rights needed to host, encrypt, transmit, back up and display your content to the people you have authorized, and to operate and secure the service.

Inside the product, every file has exactly one owner — an individual's library, a realtor's library, or a firm's shared library — and that owner determines the file's retention clock, the storage tier it counts against, the compliance rules that apply to it, the deletion rules and the export rights.

When a file is moved into a library, ownership transfers to the receiving library. From that moment retention is recalculated, storage usage is recalculated for both sides, and compliance rules, deletion rules and export rights follow the new owner. Files pinned by a compliance rule remain firm-owned regardless of any movement or departure.

Files attached inside a conversation stay with the conversation and remain available to its participants. Moving an attachment into a library is what transfers ownership; simply sending or receiving one does not.

Making or receiving an authorized copy does not transfer ownership of the original account and does not create a right to reuse, resell or publish personal information. It may, however, create a separate professional record that the recipient must protect and may be required to retain.

We do not sell your content, share it for advertising, or use it to train artificial intelligence models. ClearPath software and branding remain ours.

6. Access between realtors and individuals

A realtor can only see an individual's information after the individual approves the connection, and only to the extent the individual allows. An individual may withdraw that approval at any time, which ends ongoing access going forward. Records already retained under an applicable retention policy, and audit records of actions taken, are kept as described in the Data Retention Policy.

Download and print controls apply inside ClearPath Ready. If an individual permits a realtor or approved team member to download, print, receive or file a copy, ClearPath Ready cannot recall or govern that outside copy. The recipient remains bound by the authorization given and by confidentiality, privacy, licensing, contractual and firm-governance duties.

7. Retention, export and deletion

Retention, archiving and deletion are governed by the Data Retention Policy, which forms part of these Terms. You may export your information or request deletion from Account settings; deletion is subject to retention obligations that apply to a firm workspace or to a licensed professional's records.

Export rights follow ownership: an account may export the files it owns, and an individual may additionally export anything visible to them. Firm exports contain the firm's own files and never a realtor's personal library; realtor exports never reach into firm-retained records. Exports are built server-side and delivered as a secure link that expires after seven days.

Individual libraries are ephemeral: they carry no compliance retention, are never counted against a storage tier and are never billed. Files pinned for compliance remain firm-owned and are retained even where a deletion request would otherwise apply.

Ending a connection or deleting an account does not erase an authorized outside copy or a signed agreement, completed intake form or other professional record that a realtor or firm must keep under contract, firm policy or applicable law.

8. Acceptable use and suspension

We may suspend or terminate an account that breaches these Terms, presents a security or legal risk, or holds a license we cannot verify or that has lapsed. Where a license lapses, features that depend on it are restricted for the affected state until it is renewed and verified.

Natural-language what-if questions carry daily allowances to keep the service fair and to prevent automated abuse. Individuals are never charged for them. Realtor and firm allowances depend on plan. Attempts to get around an allowance or the human-verification check may lead to suspension.

You may close your account at any time. Sections that by their nature survive termination — ownership, disclaimers, limitation of liability, dispute terms — continue to apply.

9. Availability

We work to keep ClearPath Ready available and secure, but the service is provided "as is" and "as available", without warranties of any kind to the fullest extent permitted by law. Keep your own copies of anything critical.

10. Limitation of liability

To the fullest extent permitted by law, ClearPath Ready is not liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, lost transactions or lost data. Our total liability for any claim is limited to the amount you paid us in the twelve months before the claim, or one hundred US dollars if greater.

11. Indemnity

You agree to indemnify ClearPath Ready against claims arising from your content, your use of the service, your breach of these Terms, or your failure to meet a professional, licensing or record-keeping obligation.

12. Changes to these Terms

We may update these Terms. When a change is material we increase the version number and prompt you in the product to review and accept the updated Terms before you continue using the service. Non-material corrections are published without a new version.

13. Governing law and contact

These Terms are governed by the laws of the State of Minnesota, without regard to conflict-of-law rules, and disputes are subject to the courts located there. Questions: reach us through the Contact page.

14. Subscriptions, storage and billing

Individuals never pay for ClearPath Ready and are never billed for storage. Realtors and firms subscribe to a plan and, if they need more room than the plan includes, to a storage allowance.

Realtor plans are Free, Pro at $39 per month and Elite at $79 per month. Firm plans are Starter at $99 per month, Growth at $249 per month and Elite at $299 per month. Storage is a single add-on selection per account, on the same ladder for realtors and firms: 250 MB included for realtors and 1 GB included for firms, then +2 GB at $4, +10 GB at $9, +50 GB at $19, +200 GB at $29, +1 TB at $49, +5 TB at $149 and +10 TB at $249 per month. An individual's library is 0 GB, ephemeral and never billed.

ClearPath Ready may negotiate custom subscription pricing and custom storage limits with paid users, firms, or enterprise customers. Custom pricing does not alter retention rules, ownership rules, or compliance obligations.

Payments are processed by Stripe, our payment provider. ClearPath administrators can additionally override a plan or storage allowance, apply credits, issue refunds and cancel or reactivate a subscription; every override is written to the audit log. Prices are in US dollars and exclude taxes unless stated at checkout. If a price shown at checkout differs from this list, the checkout price applies, and existing subscribers are told before any price change affects them.

Upgrades take effect immediately and the new allowance applies at once. Downgrades and cancellations take effect at the end of the paid period, and access to paid capacity continues until then; if usage exceeds the lower tier at that point, no new content can be added until usage is brought within it. Closing an account, or closing a firm, stops billing and storage charges at that moment.

Over-allowance grace period: when stored files exceed the allowance (after a cancellation, downgrade, failed payment or the end of firm sponsorship), files stay viewable and exportable for 60 days, and reminders are sent 30, 14 and 3 days before the end. If usage is still over the allowance after 60 days, the most recently added files over the limit are moved to trash, where they can be restored for 30 days before permanent removal. Firm-retained records, files under a retention hold and shared conversation files are never moved by this process. A full ZIP export is available at any time from Settings.

Conversation inactivity: any conversation with no new messages for 4 weeks moves to the Archived section of the conversation list and returns as soon as someone sends a message. Internal team conversations between colleagues of a firm (firm-wide, group and direct chats) that stay quiet for 60 days have their message text removed; files, the record of who sent what and when, and the firm audit log remain. Conversations between professionals and individuals are archived the same way but are never cleared by this rule; they follow the firm's retention period and governance settings.

Storage enforcement is entirely server-side. Realtors and firms are blocked from adding or receiving content once their tier is exceeded and are prompted automatically to upgrade. Individuals are never blocked by a storage limit. Storage margin is calculated using a blended cost of $0.012 per GB per month.

15. Firm membership and departure

A firm's owners and managers decide who is admitted, which group a member belongs to and what that group may access. Membership can be ended by the member or by firm management at any time.

Each firm elects one offboarding policy, disclosed to members before they join, that governs the files a departing member uploaded into the firm. ClearPath Ready applies it automatically on departure, logs the settlement in the audit trail with the byte totals moved on each side, and transfers or revokes ownership accordingly. Where a member is to receive copies but their library has no headroom, ClearPath Ready offers a download to their device instead.

  • Option A — the departing member receives copies of the files they uploaded, in their own library or downloaded to their device; the originals stay with the firm.
  • Option B — the member receives copies and their originals are removed from the firm library.
  • Option C — the member receives nothing; the firm keeps everything and the member's access ends immediately.
  • Under every option, files pinned for compliance remain firm-owned, and storage usage is recalculated for both sides.

16. Realtor-specific retention requirements

ClearPath Ready keeps certain professional compliance records for seven years, because state regulators require it of licensed real estate professionals.

Team conversations and shared files stay with the firm under its own retention policy. These requirements do not apply to individuals, who keep full opt-out rights. Realtors keep opt-out rights for everything that is not regulated — aggregated insights and product updates.

ClearPath Ready never retains income, expenses, debts, down payment, budget or detailed scenario inputs for either group, and never sells them.

  • The states a realtor was licensed in
  • License numbers and their verification history
  • A dated record of client connections
  • Firm membership

None of it is sold. None of it is shared for advertising. Full detail follows.

1. Who we are and what this covers

ClearPath Ready LLC is a Minnesota limited liability company ("ClearPath Ready", "we", "us"). ClearPath Ready is a software platform that helps real estate professionals and the people they work with organize financial readiness information, exchange documents and messages, and keep a clear record of who has access to what.

This Privacy Policy explains what information we collect, why we collect it, who it is shared with, and the choices and rights you have. It applies to every account type — individuals (home buyers and sellers), realtors, firm workspaces and administrators — and to the ClearPath website and application.

ClearPath Ready is used by two types of users: (1) Individuals using ClearPath Ready to understand their financial readiness for renting or buying a home, and (2) Realtors who connect with those individuals to view information shared with them.

Throughout this policy, “individuals” refers to people using ClearPath Ready for personal financial readiness, “realtors” refers to real estate professionals using ClearPath Ready to support those individuals, and “users” refers to both groups collectively. A “connection” is the approved relationship between an individual and a realtor inside the product.

This Policy works alongside the ClearPath Data Retention Policy, which governs how long content is kept and who chooses those settings. Where the two overlap, the Data Retention Policy controls retention periods and this Policy controls everything else.

Every file in ClearPath Ready has one owner — an individual's library, a realtor's library, or a firm's shared library — and the owner determines the retention clock, the storage tier the file counts against, the compliance rules that apply to it, the deletion rules and the export rights. When a file is moved into a library, ownership transfers to the receiving library and all five of those follow the new owner, with retention and storage usage recalculated at that moment.

What each account type can do differs, and this Policy applies accordingly: individuals receive files, attach them in conversations, move shared files into their own ephemeral library and export what is visible to them, but never upload into persistent storage and are never blocked by a storage limit; realtors and firms upload, store, move and export, subject to storage limits, retention rules and — for realtors — a valid unexpired licence and their firm's offboarding policy. Files pinned for compliance always remain firm-owned.

2. Our role: controller in some cases, service provider in others

ClearPath Ready handles information in two distinct capacities, and your rights differ depending on which applies.

  • As a controller (business): for account registration data, license and verification details, billing and support records, and the security and log data we generate. We decide why and how that information is used, and you exercise your rights directly with us.
  • As a service provider (processor): for the individual content a realtor or firm holds in their workspace — conversations, uploaded documents, intake answers shared with them, and library files. We process that content on their instructions to operate the service. We do not use it for our own purposes, do not sell it, and do not disclose it outside the limited situations in section 7.
  • If you are an individual and want content deleted from a realtor's workspace, start with that realtor, since they may hold record-keeping obligations. If they do not respond, contact us and we will help route the request.

3. Information we collect

Depending on how you use ClearPath Ready, we collect the following categories:

  • Account and profile information — name, email address, phone number (if you enter one), password credentials handled by our authentication provider, profile photo, company or firm name, and your account type. If you choose “Sign in with Google” instead of a password, Google passes us your name, email address, Google account identifier and profile photo; we never receive your Google password.
  • Professional licensing information — real estate license numbers, the states they were issued in, expiration dates, license status and any supporting details you submit for manual review.
  • Firm and team information — firm membership, role within a firm, join requests, access permissions granted by a firm manager, and firm-level policy selections.
  • Financial readiness information — the intake answers you provide, including income, debts, savings, monthly obligations, timelines and goals, and the calculated outputs derived from them.
  • Content you exchange — messages, emoji reactions, GIFs you select from the in-app GIF picker, uploaded files, folder structure, file provenance metadata, and any conversation summaries generated under a summary-only retention setting.
  • Message correction records — when a message is retracted within the retraction window or deleted for everyone, the content is removed from view but a record that a message existed and was withdrawn, by whom and when, is retained for compliance.
  • Capture-related signals — print attempts and screen-capture key signals detected on screens that display another person’s financial information, recorded in the access trail as described in section 14.
  • What-if questions — the words of any what-if question you type or speak, the assistant's replies, a one-line summary of the final request when you save a scenario, and a count of how many questions each account asked, used to apply daily allowances and prevent abuse.
  • Shared scenarios — when a realtor chooses to share a scenario they ran on your numbers, the scenario and its results are added to your history. Nothing a realtor saves is shared with you unless they turn sharing on.
  • Human-verification signals — a one-time check that you are a person, run the first time you use the intake and on sign-in and contact forms to stop automated abuse.
  • Support and communications — the contents of support requests, contact-form submissions and correspondence with our team.
  • Notification delivery details — the email address, phone number and device push registration used to deliver the notifications you enabled, and your per-category delivery preferences.
  • Subscription, storage and billing information — the plan and storage allowance on a realtor or firm account, storage bytes used against it, any negotiated custom price or limit, administrator overrides, credits and refunds, and the payment records our payment provider returns to us. Individuals are never billed and have none of this. We never receive or store full card numbers.
  • Ownership and movement records — which library owns a file, when ownership transferred, and the byte totals recalculated on each side, including settlements applied when a member leaves a firm.
  • Technical and security data — IP address, browser and device information, timestamps, session and authentication storage, error diagnostics, and access and audit log entries recording actions taken in the product.

3a. Intake before you sign in

You can complete the financial intake without an account. Those answers are saved only in your own browser, on the device you used, and are never sent to us while you work through the questions. They are deleted automatically 30 days after you last touched them, and you can clear them yourself at any point using “Clear my answers” on the intake screen.

At the end you may choose to save your result. If you do, we store only your email address or phone number, the ZIP code you entered and the readiness summary — never your income, expenses or balances. Saved results are kept for 12 months and then deleted automatically. Detailed financial answers are stored on our systems only once you create an account and they become part of your own record.

If you give an email address, we send you one message containing that summary and a link to keep it. Your income, expenses and balances are not in that email. The link carries a one-time reference that is stored with the saved result and used for nothing other than attaching it to an account you create. If you give a phone number instead, we keep the result for you but do not text you.

If you later create an account using the link, or sign in with the same email address once it has been verified, the saved summary is moved onto your own record and the saved result is marked as claimed. From that point it belongs to your account: it is covered by your rights over your own information and is deleted with your account if you close it, rather than waiting out the 12-month period.

4. Where the information comes from

Most information comes directly from you when you create an account, complete intake, upload a file or send a message. Some comes from the person on the other side of a link: a realtor may enter notes about an individual relationship, and an individual's submitted intake becomes visible to the realtor they approved.

Some licensing information is obtained from publicly available state real estate license lookup sources in order to verify the license details you supplied. We collect only what is needed to confirm that a license exists, is active and matches the name and expiration you entered.

If you sign in with Google, the profile details listed in section 3 come from Google under the permissions you granted at sign-in. You can disconnect that access from your Google account at any time, though you will then need another way to sign in.

If you link a calendar, email or chat account (such as Google, Microsoft or Slack) to run your own workflow steps, you approve it on that provider's own screen. We use only what you approved, only for the steps you set up, never sell it, and you can disconnect it at any time from your settings.

Technical data is collected automatically by your browser and our infrastructure when you use the service.

5. How we use information

We use information only for the purposes below:

  • Providing the service — running your account, the affordability and readiness calculations, conversations, libraries, notifications and firm workspaces.
  • Verifying professional licenses — confirming realtor license details, flagging expirations and routing anything that cannot be verified automatically to administrative review.
  • Enforcing the access model — recording approvals, links, permission grants and revocations so every party can see who has access to what.
  • Running subscriptions and storage — billing realtor and firm plans through our payment provider, measuring storage against the owning library's tier, enforcing limits server-side, prompting upgrades, applying administrator overrides, credits and refunds, and honouring any negotiated custom price or storage limit. Individuals are never billed and are never blocked by a storage limit.
  • Applying ownership, retention and offboarding rules — recalculating retention and storage when a file moves between libraries, and settling a departing firm member's files under the policy that firm elected, with the result written to the audit log.
  • Communicating with you — service messages, license expiry reminders, retention check-ins, security notices and responses to support requests, delivered through the channels you selected.
  • Security, fraud prevention and integrity — detecting abuse, protecting accounts, investigating incidents and enforcing our terms.
  • Legal compliance — meeting obligations under applicable law and responding to valid legal process.
  • Product improvement — using aggregated or de-identified information that cannot reasonably be linked back to you. We do not use identifiable individual financial content for this purpose.

6. What we do not do

These commitments are as important as the ones above, and they are binding on us.

  • We do not sell personal information, and we have not sold personal information in the preceding twelve months.
  • We do not share personal information for cross-context behavioral advertising or targeted advertising.
  • We do not use your financial information, message contents or uploaded files to train third-party artificial intelligence models. Where an AI feature generates a conversation summary at your account's retention setting, it processes only that conversation, for that purpose, and the provider is contractually barred from retaining or training on the input.
  • The Readiness Score and every what-if number are produced by fixed formulas inside ClearPath Ready, not by AI. If you choose to ask a what-if question in your own words, the assistant needs context to understand it — for example, to know whether you own a car before answering “what if I paid it off”. So your question, the conversation so far, a plain-language summary of your intake answers (such as income, monthly expenses, debts and savings) and the figures of the scenario on screen are sent to our AI provider for that one request. It is used only to work out which settings you meant and to word the reply; the provider is contractually barred from retaining it or training on it, and the figures you see are then calculated by the same formulas as always. A realtor asking about your numbers can only do so while you have given them full-detail access. If you do not want this, simply adjust the settings by hand instead — the type box is optional. Spoken questions are transcribed by your own browser and the audio never leaves your device.
  • ClearPath staff do not read the contents of your messages or files. Support and administrative tools expose account, license and billing details only.
  • We do not make credit decisions, produce consumer reports, or act as a consumer reporting agency under the Fair Credit Reporting Act. Nothing ClearPath Ready calculates is a loan approval, pre-approval or offer of credit.

7. When information is disclosed

Information is disclosed to the people you approve inside the product — a realtor you linked to, teammates a firm manager authorized, or an individual you serve — and otherwise only to the limited categories of service providers we rely on to run ClearPath Ready. Each is bound by contract to process information only on our instructions and to protect it.

  • Cloud hosting and database infrastructure — stores accounts, records and application data.
  • Object storage providers (active and archive tiers) — store uploaded files in encrypted form.
  • Payment processing — Stripe processes subscription and storage payments for realtor and firm accounts. It receives the billing details needed to take payment and returns transaction records to us. Card numbers are handled by Stripe and never stored by ClearPath Ready. Individuals are never billed, so nothing about an individual is sent to Stripe.
  • Email delivery provider — sends account, notification and support email.
  • SMS delivery provider — sends text notifications, only where you enabled that channel.
  • GIF service — powers the in-app GIF picker. Your search words are passed to that service to return results, and the GIF images themselves load into your browser directly from that service’s network, which means it sees your IP address. It never receives your messages, files or financial information.
  • AI processing provider — generates conversation summaries where an account’s retention setting calls for them, interprets what-if questions as described in section 6, and powers PathAI, the workflow assistant. It processes only what each request needs, for that purpose, and is contractually barred from retaining the input or training on it.
  • Human-verification provider — Cloudflare runs the one-time “are you a person” check. It receives your IP address and browser signals needed for that check and nothing you typed into the intake.
  • Error monitoring and logging — receives diagnostic information about failures; configured to avoid capturing message and file contents.
  • License verification sources — public state license lookup services queried to verify the license details you provided.
  • Professional advisors, and any party to a merger, acquisition or asset sale, subject to this Policy continuing to apply.
  • Law enforcement, regulators or courts, where we receive valid legal process or where disclosure is necessary to protect rights, safety or the integrity of the service. We will notify you unless legally prohibited.

8. Financial information receives heightened protection

Intake answers, affordability inputs and the documents supporting them are the most sensitive information in ClearPath Ready, and they are handled accordingly. They are encrypted in transit and at rest, are readable only by you and the counterparties you explicitly approved, and every link requires the individual's approval before it takes effect and can be ended by the individual at any time.

ClearPath Ready applies administrative, technical and physical safeguards consistent with the standards expected of financial-services software, including access controls, encryption, audit logging and periodic review, even where ClearPath Ready is not itself a financial institution regulated under the Gramm-Leach-Bliley Act.

We do not connect to your bank accounts, do not pull credit, and do not share your financial information with lenders, brokers or data brokers.

8a. What your ClearPath controls can — and cannot — control

Inside ClearPath Ready, you choose which professional connections may see your information. Download and print controls, view permissions, encryption and access revocation apply to the copy held inside ClearPath Ready.

If you authorize a realtor or their approved team to download, print, receive or file a copy, that copy leaves your ClearPath controls. ClearPath Ready cannot recall it, erase it from another system or device, or enforce its later use. The recipient must still protect it and may use or disclose it only as authorized and as permitted by privacy, licensing, contractual and other applicable law.

A signed contract, completed intake form or other document submitted to a realtor or firm may become part of that professional’s transaction or compliance record. It may be retained under the realtor’s or firm’s own data-governance rules and legal obligations even after you end the connection or close your ClearPath account. This does not give the professional ownership of your ClearPath account or an unrestricted right to reuse, sell or publish your information.

Firm owners and managers choose the retention and offboarding rules for firm-held copies. Independent realtors choose the rules for their own professional records. ClearPath Ready enforces those configured rules only for copies that remain inside ClearPath Ready; each professional and firm is responsible for copies it keeps elsewhere.

9. Sensitive personal information

Some information you provide — in particular financial account and financial position details — is treated as "sensitive personal information" under the California Consumer Privacy Act as amended. We collect and use it solely to provide the service you requested and for the security and legal purposes described above. We do not use or disclose sensitive personal information to infer characteristics about you, and we do not use it for advertising of any kind. Because our use is already limited to these permitted purposes, no further limitation is available, but you may still exercise the rights in section 10.

10. Your privacy rights and how to use them

Depending on where you live, you may have some or all of the rights below. ClearPath Ready extends them to every user in the United States, regardless of state, rather than only to residents of states with a comprehensive privacy law.

  • Know and access — request confirmation that we process information about you, the categories involved, and a copy of it.
  • Correct — ask us to fix inaccurate personal information. Most profile and intake fields can be corrected directly in the product.
  • Delete — ask us to delete personal information, subject to exceptions where we or a linked realtor must retain it for legal, regulatory, security or record-keeping reasons.
  • Portability — receive a copy of information you provided in a portable, machine-readable format. Export rights follow ownership: an account may export the files it owns, and an individual may export anything visible to them, including files moved into their library and conversation attachments. Exports are built server-side and delivered as a secure link that expires after seven days.
  • Pricing and plan transparency — see the plan, storage allowance, usage and any negotiated custom price or limit recorded on a paid account, and ask us to explain an administrator override, credit or refund applied to it.
  • Opt out of sale, sharing, targeted advertising and profiling — we do not do any of these, so there is nothing to opt out of; the right is preserved should that ever change.
  • Limit the use of sensitive personal information — see section 9.
  • Appeal — if we decline a request, you may appeal by replying to our decision. We will respond to appeals in writing with our reasoning.
  • Non-discrimination — we will not deny service, charge a different price or provide a lesser experience because you exercised a privacy right.

11. Submitting and verifying a request

Send requests to privacy@clearpathready.com or through the Contact page. Many actions — updating your profile, changing notification delivery, ending a link with a realtor, deleting files — can be done immediately in your account settings.

We verify requests by matching the request to the email address on the account and, where the request concerns sensitive information, by asking you to confirm from within a signed-in session. An authorized agent may submit a request on your behalf with written permission, and we may still contact you to confirm.

We respond within 45 days. Where a request is complex, we may extend once by a further 45 days and will tell you before doing so. There is no charge unless a request is manifestly unfounded or excessive.

12. If you are an individual

You do not have to configure anything for this Policy to protect you. Your account is separate from every realtor's. A realtor sees only what you approved, only while the link between you is active, and never another realtor's individuals.

Ending a link stops future access immediately. Material a realtor already received while the link was active stays in that realtor's records for the period their own policy or their state's record-keeping rules require. Content that lives only in your account is removed with your account.

Ending a link or closing your account does not recall an authorized download, printout, signed agreement, submitted form or other professional record already received. ClearPath Ready can end access to the in-platform copy, but it cannot control a copy outside the service.

You choose which realtors to link with, you can see who has access to your record, and you can ask a realtor what they hold about you and ask them to delete it where no legal obligation requires them to keep it. If you cannot resolve it with them, contact us.

13. How long information is kept

Content retention is governed by the ClearPath Data Retention Policy, which is published alongside this document. In short: individual realtors select the retention policy for their own content, firm owners select it for firm content, individuals set no retention settings and carry no record-keeping responsibility, and ClearPath Ready is not the records custodian for any user or firm.

Retention follows ownership. The library that owns a file sets its retention clock; when a file is moved into another library, ownership transfers and its retention clock is recalculated under the new owner's rules. Individual libraries are ephemeral and carry no compliance retention. Files pinned for compliance stay firm-owned and are retained by the firm even if the member who uploaded them leaves.

When a member leaves a firm, their files are settled automatically under the offboarding policy that firm elected — copies to the member with the originals kept, originals moved out to the member, or nothing to the member — and storage usage is recalculated for both sides. Each settlement is recorded in the audit log with the byte totals moved.

Account records, audit logs, policy acceptances, retention check-ins, subscription and storage records, administrator overrides, refunds and billing records may be kept beyond content retention periods where required for security, audit, tax or legal purposes.

14. Closing your account, and what survives it

An individual can close their account at any time from Account settings. Before closing, you are asked to unlink from every realtor you are connected to. Unlinking is immediate: the connection becomes a previous connection, it appears that way in the realtor's roster, and their access to your record ends at that moment.

Closing does not delete straight away. Your account is archived in full for 30 days so that you can change your mind — sign back in during that window and restore it with one click. Nothing personal is visible or usable while it is archived.

After 30 days your personal information is permanently deleted: your profile, intake answers, income, expenses, balances, saved scenarios, notifications, files stored in your own account and your sign-in itself.

A small, non-personal record is kept indefinitely for legal, audit, statistical and service-improvement purposes, and may inform future marketing analysis in aggregate. It is not linked to your name, email, phone number or address, and it cannot be used to contact you.

For a realtor or firm, closing an account or a firm stops subscription and storage billing at that moment. Files the firm owns, including anything pinned for compliance, remain with the firm and follow its retention policy; a departing realtor's files are settled under the firm's offboarding policy. Billing, tax and audit records of past payments are retained as required by law.

  • The state you were looking to live in, and the state you lived in at the time.
  • Your affordability summary numbers only — the comfortable and maximum purchase price estimates. No income, expenses, balances, credit information or readiness detail.
  • Which realtors you were connected with, and a timeline of conversation activity with each: how many messages were exchanged and when the first and last occurred. No message contents, subject lines, files or file names.
  • When the account was opened and when it was closed.

15. Security

We protect information with encryption in transit and at rest, role-based access control, per-link approval before any individual record can be opened, row-level database isolation between accounts, audit logging of administrative and access events, automatic sign-out after a period of inactivity, authenticator-app two-factor sign-in for every ClearPath Ready staff member and administrator before they can open internal tools, a write-once record of every action staff take, and administrative review of professional license claims before full access is granted.

Individual access events are recorded in our logs for security and accountability purposes. To avoid turning legitimate work into a surveillance record, the product shows provenance — who uploaded, renamed or moved something — rather than a running count of who viewed it.

Screens that display another person's financial information obscure themselves when the window is minimized or loses focus, printing from them is disabled in favour of logged exports, and signals associated with screen capture are recorded in the access trail. Capturing, photographing, recording or redistributing another party's financial information without their authorization is prohibited. No web application can technically prevent a screenshot or a screen recording on any device or operating system; these measures deter casual capture and make deliberate capture attributable, and you remain responsible for the confidentiality of information shown to you.

No method of transmission or storage is perfectly secure. If we become aware of a breach affecting your personal information, we will notify you and any required regulator within the timeframes the law requires.

16. Email, text messages and notifications

You control which notifications you receive and on which channel — email, SMS or push — from your notification settings. Consent to receive text messages is never a condition of using ClearPath Ready, and you can withdraw it at any time by turning SMS off in settings or replying STOP to any message; reply HELP for assistance. Message and data rates may apply, and message frequency varies with your activity.

You can also reach support by texting SUPPORT to our support number from the mobile phone number saved on your account. That text opens a support ticket, and further texts from the same number are added to your open ticket. Texts from numbers not attached to an account are not answered or retained as tickets, which keeps your support conversations tied to you and prevents abuse.

Marketing email, if we ever send any, will always contain an unsubscribe link that we honor promptly. Transactional and security messages — password resets, license expirations, mandatory retention check-ins — are part of the service and continue regardless of marketing preferences.

17. Cookies and tracking

ClearPath Ready uses only strictly necessary cookies and browser storage: keeping you signed in, remembering session state, and protecting against abuse. We do not use advertising cookies, third-party ad networks, cross-site trackers or session-replay tools.

Two things do load into your browser from outside our own servers, and we would rather say so plainly than imply otherwise. Our typefaces are served by Google Fonts, GIF images shown in conversations are served by our GIF provider, and the human-verification check is served by Cloudflare. Each receives your IP address and standard browser request information as a consequence of delivering the file. None sets an advertising cookie for us, none is used to profile or track you, and no message, file or financial content is sent to either.

Because we do not sell or share personal information, there is nothing for a browser opt-out signal to disable — but we recognize and honor Global Privacy Control signals should that ever change.

18. Children

ClearPath Ready is intended for adults aged 18 and over and is not directed to children. We do not knowingly collect personal information from anyone under 18, and we do not knowingly collect personal information from children under 13 as defined by the Children's Online Privacy Protection Act. If we learn we have collected such information, we delete it. A parent or guardian who believes a child has provided information to us should contact us.

19. Users outside the United States

ClearPath Ready is offered to users in the United States, and information is processed and stored in the United States. We do not currently offer the service to individuals in the European Economic Area, the United Kingdom or Switzerland. If you access ClearPath Ready from outside the United States, you understand that your information will be transferred to and processed in the United States, where privacy laws may differ from those in your location.

20. Changes to this Policy

We may update this Policy from time to time. The current version is 4, effective October 4, 2026, last revised October 4, 2026. When a change is material, we increase the version, update the effective date and notify affected users in the product before the change takes effect, prompting review and acceptance where required.

Clarifications that describe existing practice more fully — naming a service provider we already relied on, or explaining a safeguard already in place — are published without a new version and are listed in the policy changelog so you can see exactly what changed and when.

21. Contact us

ClearPath Ready LLC, a Minnesota limited liability company. Privacy questions, requests and appeals: privacy@clearpathready.com. You can also reach us through the Contact page, and we will route your message to the right person.

22. ClearPath Ready staff

People who work for ClearPath Ready sign in with a dedicated work account, not a personal one, and must use an authenticator app. Each staff member can open only the areas their role requires, and access is removed the moment their role changes or they leave.

Every staff sign-in, sign-out and action — for example answering a support ticket or changing a setting — is recorded with the time and network address, so we can show exactly who did what. These records are kept as security and audit records and are not used for anything else. Staff tools still never show the contents of your messages, files or detailed financial answers.

For staff themselves, we hold the work contact details, address and role information needed to employ them. Staff can see what we hold and request corrections from inside their account.

None of these compliance records contain income, expenses, debts, down payment, budget or detailed scenario inputs. Those details live only in an individual's own account, as described in sections 3 and 14, are deleted when that account is closed, and are never sold.

  • September 30, 2026 · Clarification

Clarification only, no re-acceptance required: section 22 now says plainly that compliance records never contain financial details, which live only in your own account and are deleted when you close it; section 6 now states that the what-if scenario tool and the Readiness Score do not use AI. This consolidates open wording fixes; we do not plan further edits unless a practice actually changes.

  • September 2, 2026 · Clarification

Clarification only, no re-acceptance required: outbound texts and emails now run through one governed path that records every attempt — sent, failed or refused — for 13 months, honours STOP and START replies indefinitely, and keeps the full message text only when your firm has asked for it. Firms can set their own daily limits and send from their own verified number.

  • September 1, 2026 · Clarification

Clarification only, no re-acceptance required: the documents now describe how the audit trails already work — each entry is numbered and sealed to the entry before it, entries cannot be edited, and they cannot be deleted until they pass their one-year retention age. The trail records who did something and what they did, never who read what.

  • August 29, 2026 · Clarification

Clarification only, no re-acceptance required: the Data Retention Policy now spells out the housekeeping windows already applied to operational data — automation run history and activity (90 days), monitoring sweep metadata (30 days), saved intake leads (12 months), trash (30 days), security and audit telemetry (13 months), sign-in and upload counters (90 days), read notifications (90 days), delivered export files (30 days), stale invite codes (12 months) and caches (7 days) — and that PathAI conversations are wiped when a workflow is closed. Nothing about how your content is retained changed.

  • August 27, 2026 · Clarification

Clarification only, no re-acceptance required: all three documents were republished to describe practice already in place — that a file's owning library sets its retention, storage tier, compliance, deletion and export rules and that those follow the file when it moves; what individuals, realtors and firms can each do; how a firm's chosen offboarding policy settles a departing member's files; server-side storage enforcement and the published plan and storage tiers; that payments are processed by Stripe and that custom prices and storage limits may be negotiated. A separate Data Rights reference page was published alongside them.

  • August 25, 2026 · Clarification

Clarification only, no re-acceptance required: the Privacy Policy now names the GIF service and AI summary provider we already relied on, explains that web fonts and GIF images load from third-party networks that see an IP address, describes sign-in with Google, and lists reactions, GIFs, retraction records and screen-capture signals among the data collected. Nothing about how information is used changed.

ClearPath Data Retention Policy

Version 2 · Effective October 4, 2026

If you are an individual, you don't configure anything: you approve who can see your information, you can end that access at any time, and section 3 below explains exactly what happens to your content. If you are a realtor, retention settings are yours to choose; inside a firm workspace they are set by the firm's owners and managers. ClearPath Ready provides the controls, not legal advice.

Version 4 · 2026-10-04 · Last updated 2026-10-04

1. Purpose and scope

This Data Retention Policy (the "Policy") explains how content stored in ClearPath Ready is retained, archived and deleted, and who is responsible for choosing those settings. It applies to every account, every firm workspace and all content placed in the platform, including messages, files, conversation summaries and the metadata describing them.

ClearPath Ready provides configurable retention controls. It does not provide legal advice and does not determine the retention period required of any user by law, regulation, brokerage policy or contract. The maximum period ClearPath Ready will retain firm-governed content is 7 years unless a shorter period is selected.

Retention in ClearPath Ready is ownership-based. Every file has exactly one owner — an individual's library, a realtor's library, or a firm's shared library — and that owner determines the file's retention clock, the storage tier it counts against, the compliance rules that apply to it, the deletion rules and the export rights.

When a file is moved into a library, ownership transfers to the receiving library. Retention is recalculated from that moment, storage usage is recalculated for both sides, and compliance, deletion and export rules follow the new owner. Files pinned for compliance are the exception: they remain firm-owned however they are moved and whoever departs.

2. Who this Policy applies to

ClearPath Ready has three kinds of account, and the Policy applies to all of them — but what each one controls is different.

  • Individuals (home buyers and sellers) — you hold a personal account. Your intake answers, documents and your side of every conversation are yours. You choose which realtor may see them, you approve each link before it takes effect, and you can end a link at any time. You do not set retention periods: content you exchange with a realtor is retained under that realtor's policy (or their firm's), because they are the ones with record-keeping obligations. You can receive files, attach files in conversations, move shared files into your own library and export anything visible to you. You do not upload into persistent storage, your library is ephemeral and never counted against a storage tier, and you are never blocked by a storage limit. Only personal retention applies to you — never compliance retention.
  • Realtors — you hold a professional account and select your own retention policy for the content you hold. You may upload, store, move and export; storage limits and retention rules apply to the files your library owns; library access requires a valid, unexpired licence; and if you belong to a firm you are subject to the offboarding policy that firm elected.
  • Firms — the firm owner selects the policy that governs shared team content for every member. A firm may upload, store, move and export; storage limits and retention rules apply to the files the firm owns; files pinned for compliance always remain firm-owned; and the owner elects the offboarding policy described in section 7.

3. What this means if you are an individual

You do not have to configure anything for this Policy to protect you. ClearPath Ready keeps your account separate from every realtor's: a realtor sees only what you have approved, only for as long as the link between you is active, and never the accounts of other realtors' individuals.

Ending a link stops future access immediately. Material a realtor already received while the link was active — for example a document you sent them, or messages already exchanged — stays in that realtor's records for the period their own policy or their state's record-keeping rules require, because they may be legally obliged to keep it. Content that lives only in your own account is removed with your account.

ClearPath controls apply to the in-platform copy. An authorized download, printout, signed agreement, submitted intake form or other professional record outside ClearPath cannot be recalled or deleted by ClearPath. The receiving realtor or firm must protect it and retain or delete it under its own policy, contractual duties and applicable law.

You can ask at any time what a realtor holds about you, ask them to delete it where no legal obligation requires them to keep it, or contact the ClearPath team through the Contact page if you cannot resolve it with them directly.

You can also close your account outright from Account settings or Settings → My privacy. You are asked to unlink from every realtor first, which immediately ends their access and moves you to their previous connections. The account is then archived for 30 days so you can restore it, after which everything personal is deleted permanently and only a non-personal record remains: the state you were shopping in, your comfort and maximum price estimates, which realtors you worked with, and a timeline of conversation activity. That record carries no name, email, phone number, income figures, message contents or files.

If you leave the high-level record switched on in Settings → My privacy, we also keep a short summary of your experience: the state and city of your best scenario, the house price in it, your wellbeing and readiness scores, your maximum affordability estimate, how long you were with us and the decision you reached. We never keep income, expenses, debts, down payment or budget. Your email and phone are kept only if you asked to be contacted about product updates. Any insight published or shared from this data is aggregated and anonymised — we collect less than anyone, and only key pieces, never your detailed finances. You can switch retention and aggregated insights off at any time in Settings → My privacy.

4. Two levels of policy

For accounts that do set retention, it is decided at one of two levels, and every screen in the product tells you which one is in force for the content you are looking at.

  • Individual policy — governs your personal content: your individual conversations, your personal library uploads and anything you store outside a firm workspace. You alone select the retention mode and period, and you alone are responsible for that selection.
  • Firm policy — governs firm content: the shared library and team conversations inside a firm workspace. The firm's owner selects either a single firm-wide policy or per-state rules with a backstop period. That selection binds every member of the firm for firm content.
  • Which of the two applies to a given file is decided by ownership. Move a file from the firm library into a realtor's library and it leaves firm policy for individual policy; move one the other way and it comes under firm policy. Retention and storage usage are recalculated at the moment of the move, and compliance-pinned files never leave firm policy.

5. Retention modes

Three retention modes are available, subject to what the firm permits:

  • Full message retention — the complete contents of conversations, along with files and metadata, are kept for the selected period.
  • Conversation summary only — a written summary of key points, decisions and dates is kept. Message bodies are removed after 30 days; files and the record of who sent what remain.
  • Files only — files and the record of who shared what, and when, are kept. Message bodies are removed after 30 days.

6. Retention periods, archiving and deletion

Content is held in active storage while it is in regular use and then moved to archive storage, where it remains readable but is retrieved on request. At the end of the applicable retention period, content is permanently deleted on a scheduled basis and cannot be recovered. Deleted items placed in a trash area are retained for 30 days before permanent deletion.

The clock that applies is always the owning library's. A transfer of ownership restarts the calculation under the new owner's policy, and the byte totals moved on each side are written to the audit log. Individual libraries are ephemeral: content in them is retained only for as long as the individual keeps it and is removed with the account.

Storage capacity is enforced entirely server-side; the browser is never trusted with the decision. Realtors and firms are blocked from adding or receiving content once their tier is exceeded and are prompted automatically to upgrade. Individuals are never blocked by a storage limit. Realtor tiers are 250 MB free, then 2 GB, 10 GB, 50 GB and 200 GB; firm tiers are 1 GB free, then 10 GB, 50 GB, 200 GB and 1 TB; individual libraries are 0 GB and never counted. Storage margin is calculated using a blended cost of $0.012 per GB per month, and ClearPath Ready may negotiate custom subscription prices and custom storage limits with paid users and firms.

Records required for security, billing, audit or legal-hold purposes — including audit logs, policy acceptances, retention check-ins, subscription and storage records, administrator overrides and refunds — may be retained beyond the content retention period where ClearPath Ready is required or permitted to do so by law.

7. User responsibility

Each user is solely responsible for determining, selecting and maintaining the retention settings that satisfy the laws, regulations, licensing requirements, brokerage rules and contractual obligations that apply to that user, including any state or local real estate record-keeping requirements.

Where a user is a member of a firm workspace, the firm's owner is solely responsible for the firm-level policy, for the accuracy of any per-state rules configured, and for ensuring that the policy in force is appropriate for every member and every jurisdiction in which the firm operates. The firm owner confirms this on behalf of the team at each check-in.

Individual accounts do not select retention settings and carry no record-keeping responsibility under this Policy. Individuals remain responsible for the accuracy of what they submit and for choosing which realtors they link to.

Firm management elects one offboarding policy, disclosed to members before they join, that governs the files a departing member uploaded into the firm. ClearPath Ready applies it automatically when a member leaves or is removed, logs the settlement with the byte totals moved on each side, and transfers or revokes ownership accordingly. A preflight check runs first: where the receiving library has insufficient storage, ClearPath Ready offers a download to the member's device instead.

ClearPath Ready is not the records custodian for any user or firm and does not monitor, review or approve the retention settings any user selects. To the maximum extent permitted by law, ClearPath Ready disclaims all liability arising from a user's or firm's choice of retention settings, from the deletion of content in accordance with those settings, and from any resulting failure to satisfy a legal or regulatory obligation.

  • Option A — the departing member receives copies of the files they uploaded, in their own library or downloaded to their device; the originals stay with the firm; storage is recalculated for both sides.
  • Option B — the member receives copies and the originals are removed from the firm library; storage is recalculated for both sides.
  • Option C — the member receives nothing; the firm keeps everything, the member's access ends and storage is recalculated for the firm only.
  • Under every option, files pinned for compliance remain firm-owned and are never released.

8. Periodic re-confirmation

Every 30 days, each realtor and each firm owner must complete a data retention check-in. The check-in requires the person to review the retention settings in force, confirm they remain correct, and reaffirm this Policy. Firm owners additionally attest that the policy is current and correct for their team. Check-ins are recorded with a timestamp, the settings confirmed and the policy version.

9. Security and access

Files and message contents are encrypted, access is restricted by role and by explicit links between accounts, and access to firm content is limited to firm members with the applicable permissions. Provenance information — who uploaded, renamed or moved an item — is visible to those who can see the item; individual access events are logged but are not exposed within the workspace.

Download and print restrictions govern actions inside ClearPath Ready. Once an authorized recipient takes a copy outside the service, ClearPath cannot control, recall or audit that copy. Copying does not transfer ownership of the individual’s account or permit unrestricted reuse; confidentiality, privacy, licensing, contractual and firm-governance duties continue to apply.

10. Legal holds and requests

If ClearPath Ready receives a valid legal process or becomes aware of a legal hold obligation, affected content may be preserved beyond the selected retention period until the matter is resolved. Users and firms are responsible for notifying ClearPath Ready of any hold that applies to their content.

11. Operational housekeeping

Beyond the content retention you or your firm select, ClearPath Ready keeps operational records for fixed windows and then destroys them on a schedule. These windows are set by ClearPath Ready, apply to every account, and are not configurable.

Workflow designs — the steps, connections and settings of an automation — are yours and are kept until you delete them. Conversations with PathAI, the workflow assistant, are wiped the moment you close the workflow and are never retained between sessions.

  • Automation run history, trigger activity and connection telemetry — 90 days. The workflow design itself is not affected.
  • Monitoring sweep metadata — 30 days.
  • Saved intake leads — 12 months.
  • Items placed in trash — 30 days, then permanently deleted.
  • Security and audit telemetry (access and storage events) — 13 months.
  • Sign-in attempts, upload checks and rate-limit counters — 90 days.
  • Notifications you have read — removed 90 days after you read them; unread notifications are kept.
  • Delivered data-export files — removed 30 days after the export finishes.
  • Realtor invite codes — removed 12 months after they were last used or updated.
  • Completed sweep runs and decided contact-retention records — 12 months.
  • Web caches used for market data and research — 7 days.
  • Imported contacts that were never invited are never deleted automatically; after 24 months the realtor is asked to review them.

12. Changes to this Policy

This Policy may be updated from time to time. Material changes increase the policy version and every affected user is prompted to review and accept the updated Policy before continuing to store or exchange content. The current version is 2, effective October 4, 2026.

Questions about this Policy can be sent to the ClearPath team through the Contact page.

A signed contract, completed form or other professional document that an individual submits may be retained by the receiving realtor or firm when its policy, a contract or applicable law requires it. ClearPath enforces the selected retention rule for the copy held here; the professional or firm remains responsible for any authorized copy held elsewhere.

ClearPath Data Rights

Version 3 · 2026-10-04 · Effective October 4, 2026

Every file has one owner, and the owner decides retention, storage, compliance, deletion and export. This page sets out what each account type can ask for, and what happens when files move between libraries or a member leaves a firm.

Version 3 · 2026-10-04 · Last updated 2026-10-04

1. Purpose and scope

This Data Rights document explains, in one place, what every ClearPath account can ask for and what happens when they do. It is reference documentation published by ClearPath Ready LLC alongside the Terms of Use, Privacy Policy and Data Retention Policy, and it does not replace any of them. Where a right depends on who owns a file, the ownership rules in section 2 decide the answer.

Requests can be made in the product from Account settings, or by writing to privacy@clearpathready.com.

2. Ownership decides the right

A file in ClearPath Ready always has exactly one owner: an individual's library, a realtor's library, or a firm's shared library. The owner determines the retention clock, the storage tier the file is counted against, the compliance rules that apply to it, the deletion rules and the export rights.

When a file is moved into a library, ownership transfers to the receiving library. Retention is recalculated from that moment, storage usage is recalculated for both sides, and compliance, deletion and export rights follow the new owner. Files pinned by a compliance rule are the exception: they remain firm-owned whatever else happens.

3. Right to export files you own

Any account may export the files it owns as a ZIP archive. ClearPath Ready builds the archive server-side, stores it privately and emails a secure link that expires after seven days. Firm exports contain the firm's own files; realtor exports contain the realtor's library and the files they shared with their clients; neither reaches into the other.

Before an export begins you are shown the export terms — what is included, what is excluded, and that once a copy leaves ClearPath Ready you are responsible for safeguarding it under applicable law, your licensing obligations and your firm's rules.

4. Right to export files you can see

Individuals do not upload into persistent storage, but they can export anything visible to them: files shared with them, files they moved into their own library, and attachments exchanged in conversations. Individual libraries are ephemeral and never counted against a storage tier, so an individual is never blocked from exporting because of storage.

5. Right to a personal data summary

Every account may request a branded PDF summary of the personal data ClearPath Ready holds about it — profile details, connections, licence records where applicable, subscription and storage figures, and the retention settings in force. The summary is generated on request and is not a substitute for a file export.

6. Right to delete your account

Individuals may close their account from Account settings. The account is archived in full for 30 days so it can be restored, after which everything personal is permanently deleted and only a non-personal record remains, as described in the Privacy Policy.

Realtors may close their accounts subject to the record-keeping obligations that apply to licensed professionals and to their firm's offboarding policy. A firm owner must transfer firm ownership before closing their own account, and closing a firm follows the separate close-firm flow. Billing and storage charges stop at the moment an account or firm is closed.

7. Right to an offboarding settlement

When a member leaves or is removed from a firm, ClearPath Ready settles their files automatically under the policy the firm elected. The member may ask for that settlement to be run and to see its result: which files were copied, which were removed, and the byte totals moved on each side. Every settlement is written to the audit log.

  • Option A — the departing member receives copies of the files they uploaded; the originals stay with the firm.
  • Option B — the member receives copies and their originals are removed from the firm library.
  • Option C — the member receives nothing and the firm keeps everything; access ends immediately.
  • Compliance-pinned files remain firm-owned under every option.

8. Right to receive copies, and to download to your device

Where the firm's policy gives a departing member copies, those copies are placed in the member's own library. ClearPath Ready runs a preflight check first: if the receiving library does not have enough headroom, the member is offered a download to their device instead, so the right is never lost to a storage limit.

A download carries a confidentiality notice. Once a copy is outside ClearPath Ready, ClearPath Ready cannot govern it and accepts no responsibility for it.

The same boundary applies to an authorized printout, signed agreement, submitted intake form or file saved into a professional’s records. Ending access inside ClearPath does not recall that copy. The recipient remains responsible for securing it, limiting its use to the authorization given, and retaining or deleting it under applicable law, contract and firm policy.

A copy does not transfer ownership of the individual’s ClearPath account or permit unrestricted reuse, resale or publication of personal information.

9. Right to see retention and storage usage

Realtors and firms can see the retention policy in force, the storage tier they are on, the bytes used against it and how close they are to the limit. Storage enforcement is entirely server-side: realtors and firms are blocked from adding more once a tier is exceeded and are prompted to upgrade; individuals are never blocked.

10. Right to revoke privacy selections

Optional selections — keeping a high-level record after closure, marketing contact, notification channels — can be changed or withdrawn at any time from Settings → My privacy, and the change takes effect immediately going forward. Individuals may also end a link with a realtor at any time, which stops future access at that moment.

11. Firm rights over compliance-pinned files

A firm retains the files it is required to keep. Compliance-pinned files stay firm-owned and are not removed by a departure, by a member's deletion request or by an offboarding policy that otherwise moves originals out. Firm export rights over those files belong to the firm's owners and managers.

12. Administrator rights

ClearPath administrators can override a subscription tier or storage allowance, apply credits, process refunds, and cancel or reactivate a plan. Every override is logged with the administrator, the values before and after, and the time. Administrators cannot read message or file contents.

13. Negotiated pricing

ClearPath Ready may negotiate custom subscription pricing and custom storage limits with paid users, firms, or enterprise customers. Custom pricing does not alter retention rules, ownership rules, or compliance obligations. A negotiated arrangement is recorded against the account and is visible on its subscription page.
